UPDATE MESSAGE - Diamond Creek Rotary Town Fair has been rescheduled
 


To all stallholders and participants

It was with great regret that we had to announce on 4th September, that the Diamond Rotary Creek Town planned for 11th September 2010 has been cancelled. This was the result of an inspection of the grounds that day which showed that the whole area was badly waterlogged and that many areas were already under water. As the forecast for the next week contained more rain, there was no chance for the grounds to dry out. Recent rain has further reinforced that that decision was appropriate.

We always take great care to protect the grounds as they belong to the Cricket and Football clubs and have been recently resurfaced with underground sprinklers and drainage systems installed. If we attempted to hold the Town Fair in these conditions, we would cause massive damage to their surfaces and infrastructure as well as create a nightmare for all of the participants involved. We decided to announce the cancellation of the Town Fair a week prior to the date, so as to give sufficient notification to all participants and thereby reduce their inconvenience.

We understand that many schools, kindergartens, sporting groups, stallholders and sponsors have put a lot of effort and cost into preparing for this event. We apologize for the inconvenience and hope you understand that we feel there was no other responsible option.

HOWEVER, after negotiations with the Nillumbik Shire Council, Cricket Club and Football club and many other affected participants we are able to announce that the new postponed date for this year’s Town Fair is the Saturday, 20th November 2010.

All stallholders and participants are asked to confirm by email that they are willing and able to transfer their stall or activity to the new date. If they are unable to attend on the new date they should request a refund of any fees paid. Although there is a no refund policy due to weather, the organizing committee has decided that all stallholders who have paid fees to the Rotary Diamond Creek Town Fair and are unable to attend on the new date, will have their fees fully refunded. Whether you paid by direct deposit, credit card cash or cheque, you can expect to receive your refund in the mail within 14 days of the request being made. Over the next few weeks I will be reallocating stall numbers where required and revisions to the current Site Plan may also be required. Email updates will be sent in about 2-3 weeks from now.

All food permit application fees paid to Nillumbik Shire Council will be transferred to the new date. Should you have any questions regarding this, please contact Michelle Stewart direct at the Health Dept of Nillumbik Shire Council on 9433 3340.

Thank you to everyone for your understanding and support, and I hope that you will continue to support our event at the revised date.

Again, let me say how sorry we are for any inconvenience that this may cause to you and others.

PS – please try to reply by email (not phone) whenever possible as we are all volunteers with day jobs as well and it helps make the task much more manageable.
